Ultimate Staffing is seeking a dedicated and organized Operations Assistant to join our team in Wakefield, MA on a permanent basis. In this role, you will be responsible for managing day-to-day office operations, providing administrative support, and ensuring smooth workflow within the organization. Location: Wakefield, MA (100% Onsite)
Compensation: $30 - $35 per hour
Schedule: Monday to Friday, 8:00 AM - 4:30 PM

Key Responsibilities:
- Oversee office operations, including front desk management, vendor coordination, and customer service support
- Provide administrative assistance, such as scheduling meetings, managing calendars, and maintaining office records
- Assist in onboarding new hires and coordinating internal staff communications
- Prepare and distribute regular reports on production, sales, and pipeline activities
- Support invoicing processes, resolve billing discrepancies, and assist with Accounts Receivable (A/R) and Accounts Payable (A/P) functions
- Maintain organized document libraries and ensure compliance with company procedures
Qualifications:
- Foundational experience with Accounts Receivable and Accounts Payable processes
- Strong interpersonal communication skills, both written and verbal
- Exceptional time management skills with the ability to multitask and prioritize in a fast-paced environment
- Proficiency in Microsoft Office 365 (experience with Adobe Pro and Workday is a plus)
- Bachelor's Degree preferred, but not required
