POSITION SUMMARY:
Support the Director of Quality Systems in reviewing, updating, creating, and controlling standard operating procedures and work instructions. Function as an information source to various departments to continuously improve operations.Act as primary administrator of the supplier approval management system. Support the Director of Quality Systems on special department projects.
RESPONSIBILITIES:
Document Maintenance: Regularly update, review, and maintain work instructions and SOPs to ensure they accurately reflect current processes, procedures, and best practices.
Document Control: Maintain a structured document control system to manage the creation, version control, revision, approval, distribution, and archiving of quality documents.
Compliance Oversight: Help ensure all documentation adheres to regulatory requirements and industry standards, such as FDA regulations, HACCP principles, and ISO standards.
Collaborative Support: Work closely with cross-functional teams, including Quality Assurance, Production, Maintenance, Engineering, Sanitation, Supply Chain, IT and Finance, to gather information, verify procedures, and obtain approvals for document updates.
Training Assistance: Provide support in the development and delivery of training programs related to new or updated work instructions and SOPs to ensure proper implementation and adherence by staff.
Continuous Improvement: Identify opportunities for process enhancement within the document chance control system and propose solutions to improve efficiency and effectiveness.
Auditing Support: Assist in documentation coordination during internal audits, external inspections, and regulatory audits, including organizing document reviews and facilitating access to relevant records.
Document Archiving: Maintain organized and secure electronic and physical repositories for all quality-related documents, ensuring easy retrieval and accessibility as needed.
Supplier Management System Administrator:
- Oversee the onboarding process for new suppliers, ensuring all necessary documentation and certifications are collected and verified.
- Monitor supplier performance and compliance, utilizing the TraceGains system to track key metrics and generate reports.
- Manage supplier communication through the TraceGains platform to ensure timely responses and issue resolution.
Data Management
- Work with account managers to ensure the accuracy and completeness of supplier data within the TraceGains system.
- Regularly update and maintain supplier records, including certifications, audits, and compliance documents, upload documentation from supplier or customer portals when necessary for site Quality review and approval.
- Conduct periodic audits of the TraceGains system to ensure data integrity and compliance with company policies.

QUALIFICATIONS:
- Degree in a relevant field (e.g., Food Science, Quality Management, Document Control) or equivalent work experience.
- Proven experience in document management, preferably within a food manufacturing or related industry.
- Strong understanding of quality management principles, including document control, change management, and compliance requirements.
- Excellent attention to detail and organizational skills, with the ability to manage multiple tasks and priorities effectively.
- Proficiency in document management software and Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
- Knowledge of regulatory standards and quality systems such as FDA regulations, HACCP, GMP, and ISO standards.
- Effective communication and interpersonal skills, with the ability to collaborate cross-functionally and communicate complex information clearly and concisely.
- Ability to work independently with minimal supervision and demonstrate initiative in problem-solving and decision-making.
- Bilingual in English and Spanish preferred but not required.
