Position Summary:
We are seeking an experienced and motivated Warehouse Manager to oversee our warehouse operations. Assist the Operations Director and Managers with daily operational tasks and serves as the primary contact for warehouse and distribution needs. Ensure completion of all warehouse operations by initiating, coordinating, and enforcing programs, operational, and company policies and procedures.
Leadership and Management:
- Serve as the primary contact for all operational activities related to the operations of the warehouse to include but not limited to (receiving, handling, storing, picking, packing, backorders, freight carriers, safety, security, staffing, returns, time and attendance, performance reviews, work assignments, shipping and distribution, applying policies and procedures, etc.) activities within the warehouse.
- Supervise, train and motivate team leaders and team members. Foster a positive and productive work environment to execute order fulfillment and achieve performance results.
Inventory Control:
- Maintain adequate records of inventory levels, shipment, proof of delivery, invoicing and payment to resolve any discrepancies with clients with carriers, retailers, and distributors. Ensure data storage system, shipments and inventory transactions are accurate.
- Maintain documentation to support discrepancies from items shipped to chargebacks or invoice adjustments.
- Oversee inventory management and ensure accurate inventory records and conduct regular audits. Must be available to work on Inventory days and manage staff on inventory days.
- Subject matter expert on chain retailers packaging instructions and provide guidance to warehouse team on packaging to reduce potential errors or penalties for non-compliance.
Operation and Efficiency:
- Maintain physical condition of warehouse by planning and implementing new design layouts; organizing the flow of the warehouse floor and storage areas, inspecting equipment; issuing work orders for repair and requisitions for replacement of equipment.
- Strategic thinking to identify areas of improvement of efficiency and establish innovative or adjust existing work procedures and policies
- Provide sufficient customer service skills when dealing with vendors, retail chains, freight carriers, internal and external customers. Interface with customers to answer questions or solve problems and initiate corrective actions.
- Manage break and lunch relief for staff to ensure adequate warehouse coverage during shifts.
- Take approved vacation and reduce absenteeism to ensure the success of the team
Safety and Compliance:
- Ensure compliance with health and safety regulations. Conduct regular safety training and maintain a safe working environment. Ability to complete all required safety and training courses.
- Oversee the storage and distribution operations of products and materials. Plan, develop, and implement warehouse safety and security programs and activities.
- Complies with federal, state, and local warehousing, material handling and shipping requirement by studying existing and new legislation, enforcing adherence to requirements and advising management on needed actions.
Budget Management:
Manage the warehouse budget, including labor, equipment, and supplies. Monitor expenses and implement cost-saving measures to achieve financial objectives.
Reporting & Analysis:
Prepare and present regular reports on warehouse performance, including key metrics and KPIs. Analyze data to identify areas for improvement.
Customer Service:
- Collaborate with other departments to ensure timely and accurate order fulfillment. Address and resolve any customer issues related to warehouse operations.
- Advise Customer Service Representatives (CSR) with necessary information to accept or reject customer orders.
- Work closely with other departments to ensure all issues impacting operations are resolved.
Physical Requirements:
Ability to tolerate sustained standing/walking up to 10 to 12 hour shifts
Ability to carry, twist, push, pull products and lift up to 50 lbs.
Ability to utilize good eye-hand coordination, bend, stand, walk and squat during shift.
Ability to work in hot and cold environment
Required Experience, Skills, and Education:
- Must have a high school diploma or GED and some college course work preferred
- Must have a minimum of 5 years of warehouse/distribution experience to include supervision, product knowledge, developing budgets, safety management, developing processes, inventory control, reporting skills, data analysis, shipping and billing
- Must have forklift driving experience and or certification and experience with equipment maintenance. Must be familiar with OSHA requirements for warehouse Operation.
- Must have experience working with hand tools (tape dispenser, box cutters, computer ordering system, printers) and be able to work in a warehouse environment.
- Excellent communication skills both written and oral and work with peers and supervisor.
- Strong organization and time management skills and problem solving skills, driving to root cause
- Proficiency with MS Office Products, Traverse, Pitney Bowes
- Ability to understand instructions, work processes, reason and make judgments, problem solve, plan, coordinate, execute, and direct own work while coping with a variety of duties and expectations
- Ability to work with a number of specific deadlines and expectations related to the department
- Good mathematical aptitude is required to make accurate numerical additions and subtractions
- Ability to perform effectively under stressful conditions, prioritizing job duties
- Ability to read, analyze and interpret customer orders
- Must have the initiative and enterprise to tackle problems without supervision and develop creative solutions
