Position Summary:
The Administrative Assistant will provide high-level administrative support, focusing on managing expense reports and coordinating travel arrangements. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be proactive, resourceful, and capable of handling sensitive information with discretion.
Key Responsibilities:
- Prepare, review, and submit expense reports for employees and management, ensuring accuracy and compliance with company policies.
- Coordinate and arrange travel for employees, including booking flights, accommodations, transportation, and handling itinerary changes as needed.
- Maintain accurate records of travel arrangements and expenses.
- Provide general administrative support, including scheduling meetings, managing calendars, and organizing files.
- Assist with the preparation of documents, reports, and presentations.
- Communicate with vendors and service providers to resolve travel-related issues.
- Ensure that all travel-related documentation, such as passports and visas, are up-to-date and compliant with travel requirements.
- Handle inquiries and requests from employees and management in a timely and professional manner.
- Support other administrative tasks and special projects as assigned by management.
Qualifications:
- High school diploma or equivalent; a bachelor’s degree in business administration or a related field is preferred.
- Proven experience in an administrative support role, preferably with experience in managing expense reports and travel arrangements.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy in managing financial data.
- Ability to handle confidential information with discretion.
- Familiarity with travel booking platforms and expense management software is a plus.
