Service/Rental Operations Coordinator
About the Role: We are seeking a highly motivated and process-oriented Service/Rental Operations Coordinator to manage our rental shop's administrative activities. This role involves tracking rental assets, scheduling logistics, and ensuring seamless invoicing processes in a fast-paced, customer-focused environment.
Key Responsibilities:
- Operational Management: Oversee data and file management for accurate tracking of vehicles, training, rental units, and fleet status. Ensure timely visibility to billing with updated paperwork and manage rental contract return dates.
- Application & Vendor Management: Administer the GeoForce application, manage equipment setup and tracking, and handle supplier sourcing and vendor setup with Accounts Payable.
- Supply & Inventory Control: Maintain and control shop supplies, and collaborate with Finance/Fleet Management for documentation and tagging of trailers and vehicles.
- Logistics Coordination: Organize equipment logistics for customer and inter-company shipments, manage warehouse operations, and handle international import/export activities with Customs and Border agencies.
- Safety & Compliance: Act as a local HSE representative for safety compliance and cross-train across the organization as needed.
- Customer Experience: Deliver exceptional customer service, develop in-depth product knowledge, and promote safe working conditions.
Desired Skills & Qualifications:
- Fleet Management: Experience in managing fleet operations, including parts, work orders, dispatching, and GPS tracking.
- Technical Skills: Proficiency in Microsoft Office (Excel), Adobe PDF, inventory software, and order processing systems.
- Accounting Experience: Knowledge of accounting practices, including Accounts Payable (AP) and Accounts Receivable (AR).
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent customer service skills with a focus on detail and accuracy.
