We are seeking a highly organized and proactive Executive Assistant to support a team at our client's Midtown office. The ideal candidate will have 3-7 years of experience in a similar role, preferably within the financial services sector. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The role will be in the office full time and eligible for overtime and bonus.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication: Serve as the primary point of contact for internal and external stakeholders, managing correspondence, and ensuring timely responses.
- Document Management: Prepare and edit documents, presentations, and reports. Maintain accurate and organized records and files.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Expense Management: Handle expense reports, track budgets, and assist with financial documentation as needed.
- Project Work: Support various projects by conducting research, gathering data, and assisting with project management tasks.
- Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality.
Qualifications:
Experience: 3-7 years of experience as an Executive Assistant or in a similar administrative role, preferably within the financial services or hedge fund industry.
Education: Bachelor’s degree with good grades
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
