Vaco is hiring for a
Bilingual Front Desk Admin located in Miramar, FL.
This role is slated to be 12-15 weeks. There may be an opportunity for this role to transition to a permanent position, depending on the performance of the individual and if the current Receptionist decides not to return from maternity leave.
HR Receptionist/Administrative Support is face of the organization greeting all customers including team members arriving in our corporate offices. This role is responsible for telephonic calls ensuring positive patient experiences; liaison between our company and our vendors and/or patients; reconcile, monitor and track spreadsheets, provide administrative support for company orientation and information gathering, e-verify new hires, escalate and/or re-direct. The HR Receptionist takes ownership for effectively solving front line greeter issues, keeping customer satisfaction at the core of every decision and behavior.
Key Duties / Responsibilities / Accountabilities- Coordinate Reception activities, proficiently handling and addressing telephone inquiries accordingly.
- Serve as gatekeeper to company vendors and HR
- Prepare and draft internal communications
- Proactively track and monitor inventory controls
- Sort, log, and distribute incoming mail
- Log all monetary checks arriving in corporate offices
- Perform administrative level task related to HRIS software application
- Reconcile data regularly; weekly, bi-weekly, monthly
- Conduct e-verification on all new hires on a weekly basis
- Ensure reception coverage at all times, when on break or absent
- Coordinate bookings and reservations for conference and/or training rooms
- Coordinate new hire paperwork and collection of I9 verification documents for employee file
- Other duties as assigned.
Qualifications:- Minimum of high school diploma
- Strong phone etiquette and interpersonal skills.
- Bi-lingual Spanish
