Job Summary: The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves handling a wide range of administrative tasks and supporting senior management. The ideal candidate is resourceful, a good problem solver, and highly organized.
Key Responsibilities:- Manage and coordinate daily office activities and operations to ensure efficiency and compliance with company policies.
- Answer and direct phone calls, emails, and other forms of correspondence.
- Organize and schedule meetings, appointments, and travel arrangements for senior management.
- Prepare and distribute agendas, meeting minutes, and other relevant documents.
- Maintain a systematic filing system for documents, both physical and digital.
- Handle administrative requests and queries from senior managers.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a contact list.
- Order office supplies and research new deals and suppliers.
- Maintain office policies and procedures.
- Provide general support to visitors.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Assist in various projects and other tasks as assigned by management.
Qualifications:- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Ability to work independently and as part of a team.
