QUALIFICATIONS: High school diploma or GED required. Minimum 1 year dental office scheduling and insurance experience required. Demonstrate understanding of modern dentistry and related procedures.

ESSENTIAL RESPONSIBILITIES:
- Delivery of excellent customer service to ensure that each person, internally and externally, is greeted professionally with each and every interaction.
- Orients new patients to Marimn Health and provides an introduction to services and programs available.
- Serves as the initial point of contact for patients. Manages the coordination and appropriately handles or directs patient’s questions, concerns or issues to the appropriate resource within the organization.
- Registers new patients into NextGen (EPM) following approved protocol and procedures. Advises patient of payment responsibilities and billing protocols appropriate for each patient.
- Pre-screens patients for PRC and Sliding Fee eligibility. Advise patients of discount and payment options.
- Appropriately schedules patient appointments using
- Marimn Health’s systems and standard solicitation of reason for visit; Primary Care Provider (PCP); appropriate identification of patient using name and date of birth. Ensures scheduled appointments are within template guidelines.
- Initiates patient visit and ensures check-in procedures are completed efficiently and appropriately to create the encounter and initiate the billing of charges. Verifies patient demographics, assigns appropriate rendering provider; attaches correct and updated insurance to the encounter.
- Communicates with Dental Team to notify health care provider (i.e. nursing, medical, dental, mental health) regarding late arrivals, no-shows and cancellations in order to optimize provider time.
- Completes appointment reminder calls for dental patient appointments two business days prior to appointment. Reminds patients of appointment date, time and provider and informs them of expected payment due at time of service.
- Works collaboratively with revenue staff to communicate information and effectively manage and collect revenue related to patient encounters. Assists patients with alternate resources by providing contact information and/or introduction to MH staff responsible for assisting patients with evaluation of alternate resources.
- Reviews patient’s EDR chart for verification of correct scheduling. Ensuring appointment is in correct time block for cleaning, exam or procedure.
- Makes sure patients are given correct paperwork prior to dental visits.
- Responsible for dental patient scheduling.
- Works closely with the Dental Office Manager to monitor and maintain adequate patient flow.
- Assists as a team member, as required, helping to maintain operatories, serves on committees and works with the manager and other departments to maintain positive patient/clinic interaction.
- Obtains and records insurance benefits details
- Maintains office machines in work area.
- Monitors open and underutilized time in the schedule.
- Processes dental referrals.
- Processes hospital surgery cases.
- Prepares and prints next day schedule and have it ready for the following morning’s team meeting.
- Pulls Ortho Charts for Orthodontist days and files charts at the end of the day. Productive use of down time.
- Maintains close monitoring of patient flow and works closely with medical/dental staff to exchange information in expediting patient visits.
- Answers incoming calls, faxes and emails for the department and routes to appropriate person, employee or department.
- Responsible for quality assurance of all medical records and releases; keeps records updated and archived according to Marimn Health standards.
- Responsible for making sure all documents are appropriately scanned within patient charts. Documents are scanned into EDR in the correct patient and document type. Assures scanning is completed in a timely manner with appropriate signatures and details required to be complete prior to scanning.
- Assists patients in requesting medical records according to Marimn Health’s departmental policy. Assures that requests are filled out correctly and signed.
- Handles all releases of information required for dental referrals or patients.
- Processes all dental record requests and routes the information to the requested parties using secured email.
- Computers are to be used for dental department tasks only.
- Personal phone calls are limited to emergency needs only.
- Other duties as assigned.
