Position Description
Bluebird Kids Health is seeking an Executive Assistant with a patient and family-first mindset to serve as the Executive Assistant to the CEO. The Executive Assistant will play a critical role in ensuring the smooth operation of the newly formed executive office. This individual will provide high-level administrative support to the CEO, manage schedules, coordinate meetings, and serve as a liaison between the CEO and various stakeholders, all within a fast-paced start-up environment. The ideal candidate will be highly organized, proactive, and possess strong communication and interpersonal skills as means to effectively support the CEO within a dynamic, innovative healthcare landscape.
What You’ll Do (Duties & Responsibilities)
Administrative Support
- Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
- Prepare and organize meeting agendas, materials, and minutes.
- Handle incoming correspondence, including emails and phone calls, and prioritize responses.
- Draft, review, and edit reports, presentations, and other documents as required.
- Maintain confidential files and records.
Communication & Relationship Management
- Serve as the primary administrative point of contact between the CEO and internal/external stakeholders.
- Communicate on behalf of the CEO, including drafting and sending emails and letters.
- Coordinate and facilitate communication between the CEO and the executive team.
- Build and maintain positive relationships with board members, executives, staff, and external partners.
- Handle sensitive information with the highest level of discretion and confidentiality.
- Represent the CEO and the organization professionally in all interactions.
Meeting and Event Coordination
- Organize and coordinate executive meetings, board meetings, and other key events.
- Arrange travel itineraries, accommodations, and transportation for the CEO and visiting executives.
- Assist in the planning and execution of corporate events and functions.
Project Management
- Assist the CEO and executive team in managing special projects and initiatives.
- Track project progress and ensure timely completion of tasks.
- Conduct research and compile data to support the CEO in decision-making processes.
Office Management
- Oversee the maintenance of the executive office and team, ensuring a professional and organized environment.
- Order office supplies and manage inventory.
- Organize, manage and submit expense reporting and reimbursement for CEO and executive team.
- Coordinate with IT and other departments to address office needs and technical issues.

What You’ll Need (Education, Experience, Certifications)
- Bachelor’s degree preferred or equivalent experience
- Minimum of 3 years of experience as an executive assistant to C-Suite executive(s), preferably in the healthcare industry.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), along with travel, expense and invoice management software systems.
- Ability to work independently and handle multiple tasks simultaneously.
- High level of professionalism and discretion.
- Knowledge of healthcare industry landscape is a plus, especially within value-based care and start-up organizations.
