High-end residential interior design firm seeks experienced office manager with greater than 5 years experience to handle daily operations and perform light accounting tasks. This position supports the principal and business manager, performs clerical and support tasks, is responsible for organization and scheduling and completes basic bookkeeping and accounting tasks.
Specific Office Manager Responsibilities
- Provides general administrative support including: answering telephone calls, sorting and distributing mail and packages, photocopying, and preparing packages for mailing
- Manages calendar and contacts for principal
- Greets clients and visitors
- Maintains office equipment including computers, printers, and phone system
- New employee orientation
- Manages inbound and outbound couriers
- Orders office supplies
- Preps notes and materials for office meetings
- Runs errands and coordinates meals as directed
- Coordinates office travel arrangements
- Maintains office vehicles
- Coordinates office scheduling when appropriate and requested
Specific Accounting Related Responsibilities
- Processes employee weekly timesheets and edits/updates for client invoicing
- Receives client payments and posts cash receipts
- Reviews, identifies and posts credit card purchases
- Processes accounts payable- general expenses and product purchase orders
- Processes monthly sales tax
- Completes other tasks as requested by business manager
Friendly and upbeat demeanor
Knowledge of Microsoft Office and related software
Knowledge of Quickbooks and related accounting software
Accredited degree in business/accounting or significant related experience.
Must possess current MA driver’s license and be comfortable with city driving.
