We are seeking a highly skilled and organized legal assistants. The ideal candidates will have experience in corporate or litigation and possess strong administrative and communication skills.
Responsibilities:
- Prepares documents for state and federal court filings including discovery requests and responses, letters, pleadings, motions and other documents, as well as e-filing in various federal, state, and appellate courts.
- Prepares correspondence, memoranda, and other legal documents from written and oral drafts; drafts standard correspondence, and other documents required by the litigation process; understands specialty areas of practice (Employment Litigation) and can attach appropriate enclosures for specialty area without the need for supervision.
- Formats and proofreads documents to ensure compliance with court rules and grammatical standards.
- Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system and ensures attorneys compliance and awareness of upcoming deadlines.
- Opens new files and maintains client and general files. Conducts periodic review for possible storage of closed files; prepares files for electronic storage.
- May receive clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
- Makes client and client related appointments and travel arrangements for attorneys upon request.
- May enter attorney time for time and billing purposes on a daily basis.
- Works in a cooperative and fast-paced team environment to ensure all daily tasks such as typing, filing, photocopying, telephone coverage, submission and tracking of attorney expenses, and other administrative duties are covered.
- Responds to messages and requests in a timely manner (which means at least within the same business day as they are made), ensuring that the highest level of cooperation and teamwork is exhibited.

Requirements:
- Minimum of 4 years of experience as a legal secretary, preferably in civil litigation.
- Ability to proofread and perform editing (e.g., punctuation, grammar, spelling) of law office correspondence and legal matters. Perform basic arithmetic when verifying calculations on forms and documents; maintain records and filing systems at the firms’ designated level.
- Ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision.
- Demonstrates high level of attention to detail.
- A working knowledge in software programs such as Microsoft Word, PowerPoint and Excel or other similar software programs necessary to perform essential duties of the position.
- Demonstrated knowledge and in-depth experience with various court systems and procedures, including CM/ECF filing.
- Interpersonal skills necessary to communicate fully, effectively and appropriately by telephone, in person and via email with a wide range of clients, attorneys and staff under a wide range of situations and circumstances so as to consistently provide customer satisfaction with each interaction.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and typing skills.
