A leading investment firm seeks a hybrid Executive Assistant / Office Manager to support senior level executives and oversee their brand new office location in Midtown East. This dual-function role requires a proactive individual who is adept at managing diverse tasks and thrives in a fast-paced environment.

Key Responsibilities:
Executive Assistant Duties:
- Calendar Management: Coordinate and manage executives' schedules, including meetings, appointments, and travel arrangements.
- Communication: Act as a liaison between executives and internal/external stakeholders. Manage phone calls, emails, and correspondence with professionalism and discretion.
- Meeting Coordination: Organize and prepare for meetings, including agendas, minutes, and follow-up actions. Ensure all logistical aspects are handled seamlessly.
Office Manager Duties:
- Office Operations: Oversee daily office operations, including managing office supplies, equipment, and maintenance.
- Vendor Management: Coordinate with vendors and service providers to ensure office services are efficiently managed and cost-effective.
- Event Coordination: Plan and execute office events, meetings, and client gatherings, ensuring they run smoothly and professionally.
- Compliance: Ensure office practices comply with company policies and legal requirements.
Qualifications:
- 8 -20 years of experience in executive assistant role, preferably within the financial or investment sector.
- Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Excellent written and verbal communication skills with a professional demeanor and ability to interact with high-level executives and clients.
- Strong problem-solving skills with the ability to anticipate needs and proactively address issues.
- Demonstrated ability to handle sensitive and confidential information with discretion.
Compensation:
- Base salary range of $120,000 - 145,000
