Office Administrator
$22+/hr DOE
We are seeking a dedicated and organized Office Administrator to support an exceptional Emergency Services organization in the Syracuse, NY area. The Office Administrator will be responsible for a wide range of administrative duties and will play a crucial role in ensuring the smooth operation of the department.
Key Responsibilities:
- Manage telephone communications, including checking voicemails and responding accordingly.
- Retrieve and manage mail and numerous email accounts
- Manage and maintain all required supplies, including purchasing items when needed
- Administer the key fob system, issuing key fobs and facilitating access for events.
- Coordinate and manage meeting room and training calendars.
- Assist with scheduling and organizing meetings and events.
- Record and distribute meeting minutes.
- Manage building maintenance scheduling and repairs.
- Handle accounts payable tasks, including purchase orders, check issuance, and credit card payments.
- Maintain vendor and personnel files, assist with onboarding when required
- Handle accident notifications and pager inventory.
- Prepare and submit reports to relevant authorities.
- Assist in budgeting processes.
- Notarize documents as required
Requirements:
- Proven experience in office administration or a related field.
- Excellent communication and organizational skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and accuracy.
- Familiarity with budgeting processes is a plus.
- Notary certification preferred.
