Our client, a well-known entertainment company in Burbank, is looking for an Executive Assistant to join their Corporate Communications team for an 11 month contract! Please note, this role will work a hybrid schedule, Monday through Thursday onsite with Friday remote.
Responsibilities:
- Provide key administrative and communications support to two Vice Presidents of Corporate Communications
- Understand the day’s priorities so you can be strategic about how you direct phone calls and manage calendar changes
- Review your leader’s schedule to build-in time for things like brainstorming/executing and traveling to their next meeting
- Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles;
- Schedule conference rooms, meetings and video calls
- Handle extremely confidential, sensitive information
- Draft letters and emails on behalf of your leaders
- Manage large purchase orders and vendor contract processing
- Create multi-city travel itineraries, taking into account time zones, weather delays, traffic and fatigue levels;
- Prepare regular reports summaries and collaborate on ad hoc projects
- Interface directly with other senior executives and executive support professionals
- Process expense reports, renew memberships & subscriptions and work on ticket requests
- Assist with on-boarding new employees
- Assist with planning large, high-profile events like premiers, product launches, off-sites as well as smaller-scale gatherings such as service recognition parties and team-building activities(as needed)
Required Qualifications:
- Bachelor's degree
- 5 years of supporting C-Suite executives (VP+)
- Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, Smartsheets, and working in a Windows environment
- Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary;
- Ability to multi-task and prioritize deadlines/deliverables
- Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is may be needed;
- Very strong organizational skills and extreme attention to detail; and
- A professional demeanor, positive outlook and a can-do attitude
