We are seeking an Office Administrator/Receptionist. Your main role is front desk administration and reception duties, you will provide exceptional client service and ensure our premises reflect the professional image of the corporation. If you are reliable, resourceful, take initiative, and are willing to be hands-on to help various departments achieve their goal, then this role is for you!
Responsibilities for Office Administrator/Receptionist.:
- Answer main company phone, direct calls, greet, and welcome visitors in a friendly and professional manner.
- Maintain visitor log and manage any company parking stall violations.
- Receive and distribute incoming mail and packages. Preparing outgoing mail and coordinating with courier services for timely deliveries.
- Oversee the maintenance and cleanliness of the office building and property as a key point of contact with various maintenance services, i.e. Janitorial services, equipment maintenance, IT Support, parking, and vendors to ensure safe operations and a professional environment for our two Offices.
- Maintain and track records for company office inventory, offsite storage of company property, and archived document files.
- Coordinate with vendors to ensure timely delivery and cost-effective purchasing.
- Conference room reservations and food/drinks arrangement as required, clean up after each meeting.
- Assist in organizing and supporting corporate events, tradeshows, client, and marketing events when required.
- Maintain accurate and up-to-date records for office supplies, promotional items, company equipment, and devices.
- Regularly review the accuracy of office facilities services and utility invoices before sending them to the accounting team for payment.
- Update the Office procedures manual accordingly to be used as a guide for reception coverage.
- Coordinate reception relief coverage when necessary.
- Coordinate with Human Resources and IT support to set up new hire workstations, devices, and system access.
- Other duties as assigned.
Qualifications for Office Administrator/Receptionist.:
- Minimum 1+ years of administrative experience in a professional corporate office.
- Minimum of 1 year of reception/front desk client-facing experience.
- Experience with marketing and event planning.
- Post-secondary diploma or certification in office administration, general administration, and or equivalent experience.
- Financial or investment industry experience is an asset, but not required.
- High degree of professionalism, possess a positive and enthusiastic attitude.
- Highly detailed, demonstrated organizational skills with proven ability to prioritize, and balance multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Excellent interpersonal skills, with the ability to work independently and collaboratively in a team environment.
- Sense of urgency, solution-focused, results-driven approach to all responsibilities.
- Proficiency with Microsoft Office and technical proficiency
- Strong work ethics, accountability, professionalism
- Experience taking initiative to improve office processes.
