Role and Responsibilities:
As the Executive Assistant to the CEO, you will be the right hand to our leadership team, ensuring seamless operations across various functions. Your key responsibilities will include:
- Calendar Management: Efficiently manage heavy calendars, ensuring alignment with priorities.
- Invoice Tracking: Review and track weekly invoices to confirm accurate billable hours.
- Project Management: Lead ad hoc projects with minimal supervision, from kickoff through major milestones to retrospectives. Evaluate ROI and make recommendations for optimizations.
- Note Taking and Action Item Management: Take thorough notes in all meetings attended and follow up with action items; track follow-through
- Budget Tracking: Monitor budgets across multiple projects, ensuring alignment with company OKRs. Act as a strategic partner in decision-making processes.
- Brand Awareness: Manage social media accounts and blog posts to elevate Tensor Robotics' brand presence.
- Recruiting Support: Assist in recruiting efforts, helping us attract top talent.
- Correspondence: Draft and manage correspondence for the CEO as needed.
- NDA Management: Build and maintain a repository for NDAs, managing signatories across the organization.
- Travel Coordination: Organize and coordinate domestic and international travel arrangements.
Qualifications:
- 3-5 years of experience as an Executive Assistant or in a similar role, with a track record of supporting C-level executives in a fast-paced environment.
- Bachelor's degree preferred.
- Exceptional verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Proven ability to build and execute new processes.
- Excellent time management skills and the ability to handle multiple priorities.
- Experience in a tech startup environment is a plus.
- A proactive problem-solver who anticipates needs, identifies issues, and develops effective solutions.
- Ability to build strong relationships with internal and external stakeholders and manage vendor relationships.
- Proficiency in G-Suite, Microsoft Office, and project management tools like Notion.
- A proactive, adaptable, and dependable professional with a polished demeanor.
- Ability to travel occasionally to company headquarters and customer sites
Compensation:
- Salary: $85,000 - $115,000 annually, depending upon experience and skillset
