The Concierge will play a crucial role in supporting our real estate agents and ensuring the smooth operation of our office. The ideal candidate will not only perform administrative and clerical duties but also be involved in various client-facing tasks, from preparing pre-listing packets to managing the logistics of client events.
Responsibilities
Client Relations and Support:
· Prepare and deliver pre-listing packets to prospective clients.
· Frequent interactions with clients always representing the brand with superior quality
· Prepare closing gifts with detailed thank-you cards from the agents.
· Utilize our client relationship management (CRM) software to record key client information and maintain the
key log.
· Check-in with agents regarding their clients' needs and ensure prompt action is taken.
· Assist with client projects such as writing letters, making copies, and addressing/mailing envelopes.
· Attend client events, sometimes occurring in the evening and/or weekends monthly
Marketing and Administrative Tasks:
· Create flyers, postcards, and other marketing materials for our listings using Canva.
· Change out sign riders and manage installation of signage, including lockboxes on homes.
· Maintain inventory of office and perishable items, prepare, and place weekly orders for needed supplies.
Event and Office Management:
· Manage the setup and breakdown of client events, which includes tents, chairs, tablecloths, signage, etc.
· Wash dishes as needed daily to maintain a clean office environment.
· Clean signage, riders, and lockboxes when returned to the office.
Operational Support
· Run daily errands for the office including sign installs and purchasing supplies.
· Make daily deposits for the office.
· Check office printers for ink, paper, and general maintenance.
· Attend weekly team meetings and frequent one-on-ones with the Director of Operations and listing team.
Qualifications:
· High school diploma or equivalent required. College degree preferred.
· Previous experience in a customer service or an administrative role is a plus.
· Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite tools (Google Docs, Google
Sheets, etc.).
· Excellent verbal and written communication skills.
· Strong organizational skills with the ability to manage multiple tasks simultaneously.
· Proficient in using CRM software and marketing tools like Canva.
· Ability to work independently and as part of a team.
· Coachable and willing to learn new skills and be a team player.
Education and Experience:
· Real estate license preferred or willingness to obtain within 90 days of employment. The expense of obtaining
and maintaining the license will be paid by the company.
· Valid driver's license and minimum required insurance coverage on the vehicle are mandatory.
