A very prominent hedge fund firm based in the SF is looking for a charismatic and personable Office Administrator to help support their office operations! In this role, you’ll take on a number of tasks related to office support and daily operations oversight.
In this position, you will be the main agent of support for the firm’s busy front office – answering phones, greeting, and directing guests, and managing calendars. You will also take on special projects as they arise!
**This job is on-site five days a week paying in the $75k - $85k range + Bonus**
Specific daily tasks:
- Overseeing the front desk – answering phones, greeting guests, keeping common areas neat, and maintaining supplies inventory
- Managing schedules –meetings, and check-ins for various executives, and supporting their EAs with additional projects as requested
- Preparing for meetings – arranging rooms, ordering catering, creating agendas
- Event planning – coordinating logistics for holiday parties, company outings, and client events
- Coordinating with teams – liaise with technology/desk support teams: Add visitor to Visit Calendar, Communicate desk location to guest
- Organizing packages – courier Services, distribute packages and mail as delivered for the day: Maintain FedEx & Messenger Services
- Soley responsible for vendor management – ensure that inventory of office supplies and pantry are fully stocked
- Onboarding support to Senior Admin – train employees on Concur/Workday platform, order business cards, HR documentations, building ID badges, office tour, etc.
- Assisting the Marketing team – catered meetings, print documents, liaise with vendor to create pitch books
- Maintaining the office – ensuring that the office is always fully stocked and organized
Our Ideal Candidate:
- Has applicable experience in office support/management/operations within a fast-paced office setting
- Bachelor’s degree is preferred
- Is a great communicator – knows how to interact professionally and effectively with individuals at all levels
- Has a positive attitude – is willing to go above and beyond helping with all projects
- Is detail-driven – works with impeccable accuracy and precision
- Is focused, motivated, and organized – knows how to take charge of a task and see it through from start to finish
