The Executive Secretary’s role is to support the Senior Management team in providing administrative support and assist with various duties. Fluency in the Turkish language is a requirement.
Responsibilities
- Responsible for complete calendar management
- Ability to handle highly-confidential material/correspondence
- Manages off-sites travel (domestic and international) in all aspect; concept to execution
- Drafts e-mails, as well as Review and prioritize emails that are viewed as important
- Direct liaison to all for business related meetings, working closely in preparing documents, supporting documents, and prep meetings.
- Develop and communicate meeting agendas and minutes, often partnering with individuals for action item follow through.
- Follows up with any post-meeting tasks as required
- Seamless managing of administrative tasks
- Sets up high level meetings with senior management
- Balance priorities for self while supporting colleagues in staying organized and productive.
- Ad-hoc tasks as requested (unplanned car service/hotel bookings, lunch, coffee, etc.).
- Prepares responses to routine correspondence.
- Prepares and maintains charts/lists
- Screens calls and direct the calls to the appropriate persons
- To manage front door access to the facility and provide badge access to authorized visitors
- Maintains files, correspondences, trip schedules and notes.
- Acts as liaison between Executive staff and team
- Handles sensitive and confidential business matters.
- Assists with special projects.
- Trains Office Assistants.
- Other duties will be assigned as required.

- Fluent in Turkish, verbal and written
- 2 years’ experience preferred as an executive secretary to Senior Management.
- Proficient in Microsoft Office Suite.
- Ability to work from home when necessary.
- Ability to work independently as well as with a team; "hands on" as necessary.
- Capable of operating in an evolving and often unstructured environment.
- Poised and polished with a professional mindset.
- Superior judgment with confidential materials.
- Superior written and oral communication skills.
- Ability to multi-task and switch gears quickly.
- Excellent attention to detail.
