JOB SUMMARY: We are looking for a Business Affairs Manager to join our Huntington Beach team. The Business Affairs Manager plays a critical role in the production process, specifically as it relates to all financial and administrative details that occur before, during and after any given TV, Radio, Digital, Print and/or integrated production. Generally, the Business Manager is responsible for all business details involved in a production and works closely with the Producer, Account Teams, and Finance to determine and execute these details. The person in this position will play an integral part within the production department and will interact with other internal teams, outside vendors, and legal counsel. Qualified candidates must be organized, self-motivated, detail oriented, enthusiastic, and adaptable. Individual must be a critical thinker who is willing to tackle challenges while taking on increased responsibilities.
Essential Duties & Responsibilities:
- Utilize specialized systems and platforms to create SAG-AFTRA and Non-Union contracts, client facing estimates, purchase orders, and insurance declarations.
- Manage all paperwork starting from the bid process through award and production completion.
- Assist producers in ballparking, bidding, and awarding broadcast and digital productions.
- Approve and process invoices as well as oversee contractually obligated first installment payments for live action shoots, editorial, animation, and VFX.
- Understand standard operating procedure for OLP and clients as well as guidelines and protocols for client cost consultants.
- Calculate SAG-AFTRA sessions and understand general terms of talent usage.
- Manage relationship with outside vendors including talent payroll service company, Extreme Reach.
- Understand and manage all business-related items for each project and act as resource for any problems and/or questions pertaining to the job.
- Communicate with Producers, Account Teams, and Finance to actualize and close jobs in accordance with OLP and client guidelines.
- Monitor budgets to ensure that expenditures stay within estimate and that any overages are communicated directly to Producers, Account Teams, and Accounting and resolved in a timely manner.
- Maintain shared server with all appropriate documents, including a detailed job jacket to be referenced for audits and billing questions from OLP accounting and client cost consultants.
- Utilize multiple financial platforms to perform daily tasks in addition to managing and updating internal tracking documents.
Qualifications
Education, Experience and Qualifications:
- Minimum 5+ years of experience in the advertising industry.
- Advanced negotiation skills, related to talent contracts, rates and licenses.
- Extensive knowledge and administration of the SAG-AFTRA contracts and comprehensive knowledge of AICP and AICE bid forms.
- Experience with working on U.S. and International Productions.
- Knowledge of legal guidelines for commercial productions, which include licensing language, music, trademark, and copyright.
- Ability to multi-task and prioritize work in busy environment while managing multiple timelines and resources.
- Outstanding organizational skills and works well under pressure.
- Ability to work well with a team of talented people, but capable of working independently.
- Exceptionally budget-minded and detail oriented
- Work at the Huntington Beach office. This is not a remote position.

- Strong problem-solving skills with excellent written and verbal communication
- Knowledge of Google Drive, Microsoft Word, and Excel.
