Job Description:
MEI is seeking an organized, proactive, and efficient Office Coordinator with strong coordination skills to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing a wide range of administrative and clerical tasks. The Office Coordinator will serve as a point of contact for employees and clients, coordinate office activities, and support various departments in maintaining an organized and productive work environment.

Job Duties:
- Coordinate and oversee daily office operations.
- Manage office schedules, appointments, and meetings.
- Greet and assist visitors, clients, vendors and new employees in a professional and courteous manner.
- Serve as a liaison between different departments to ensure seamless communication and workflow.
- Process and manage office supplies and inventory, ensuring adequate stock levels.
- Coordinate travel arrangements and accommodations for staff as needed.
- Ensure office supplies, including cleaning supplies, are adequately stocked and ordered as needed.
- Maintain the cleanliness and organization of common areas such as the breakroom, kitchen, and conference rooms.
- Ensure snacks, beverages, and other provisions in the breakroom are regularly stocked and replenished.
- Coordinate with building management and vendors for any necessary maintenance or repairs.
- Arrange catering and other logistics for meetings and events.
- Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
- Maintain and track office budget and expenditures.
- Coordinate with the finance department to ensure timely payment of bills and reimbursements.
Minimum Qualifications:
- Proven experience as an Office Secretary, Administrative Assistant, or similar role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Teams, Excel, PowerPoint, Outlook).
- Familiarity with office management procedures and basic accounting principles.
- Ability to work independently and as part of a team.
- High school diploma; additional qualifications in office administration or related field are a plus.
