The Stowers Institute for Medical Research is seeking an Administrative Coordinator that will contribute to the success of GSSIMR on a daily basis.
The Administrative Coordinator works closely with other members of the GSSIMR team to facilitate the day-to-day operations of GSSIMR. The Administrative Coordinator reports to the Associate Dean for Administration.
Responsibilities Include:
- Collaborate with administrative assistants and faculty to schedule meetings, module courses and visits to best accommodate everyone involved. Provide administrative support to staff members.
- Arrange predoctoral researchers’ Supervisory Committee meetings, journal clubs, trips to scientific meetings and home.
- Coordinate arrangements for guest speakers in the module courses.
- Serve as initial contact for predoctoral researchers, other programs’ participants, applicants, and all others inquiring about our programs.
- Arrange and communicate travel plans for department members, board of directors, interviewees and predoctoral researchers, participants in other GSSIMR programs, and speakers for module courses.
- Organize the accommodations and other arrangements for the Graduate School candidates’ interviews and for the incoming predoctoral researchers’ arrivals.
- Order and organize lab supplies, journals, textbooks and other materials for the courses and predoctoral researchers.
- Schedule meetings for department members, predoctoral researchers’ evaluation committees and others; schedule space for classes and coordinate times between instructors and predoctoral researchers.
- Effectively organize the summer scholars’ move into their housing, including organizing the inventory and shopping list.
- Coordinate opportunities for predoctoral researchers' interaction and assimilation.
- Maintain confidential filing system of applicants’, predoctoral researchers’, other programs’ participants, and school information.
- Utilize specialized software for school administration and predoctoral researchers’ records.
- Interact with the budget spreadsheets and add expenses in a manner that keeps spreadsheets up to date, including the predoctoral researchers’ travel and conference allowances.
- Manage the reimbursements, ordering, bill paying and credit card charges. Process mail and correspondence.
- Assist the predoctoral researchers through the reimbursement process and payment process from their moving, conference and travel allowances.
- Process invoices, reimbursements, payments, and expenses.
- Other administrative duties as assigned.
Minimum Requirements:
- Bachelor’s degree; or an equivalent combination of education and related work experience.
- Three or more years of experience providing administrative support in a demanding office environment with progressive responsibilities.
- Experience using Microsoft Windows including Microsoft Outlook, Word, Excel, and Powerpoint.
- Excellent organizational, time management and decision-making skills.
- Exceptional “customer service” skills, focused on meeting customer needs and on achieving customer satisfaction.
- Ability to work both independently and as part of a team.
