Job Overview:
The Document Control Manager is pivotal in managing the Company's documented information. This role ensures that documentation is created, updated, and stored according to Company policies, contractual terms, best practices, and ISO 9001 quality management system requirements. The manager will oversee the Company's electronic document management system (EDMS), ensuring proper access, retrieval, preservation, version control, and disposition of documented information.
Responsibilities/Essential Functions:
- Lead and develop a team to manage daily activities, including maintaining accurate and current documentation.
- Oversee the creation, revision, and distribution of documentation, including policies, procedures, and standards.
- Manage and maintain a centralized document management system to ensure documents are up-to-date and easily accessible.
- Collaborate with department leaders to enhance policies and procedures for document storage, sharing, transmission, and destruction.
- Consult with end users to resolve issues related to accessing electronic content.
- Coordinate document and system access rights and revision controls to ensure the security and integrity of master documents.
- Oversee new document and version control processes, providing updates to stakeholders to ensure smooth transitions.
- Stay updated on best practices and developments in document management technologies through professional organizations, conferences, meetings, workshops, and discussions with colleagues.
- Assist Company Counsel with clerical and research support to ensure compliance with applicable laws, regulations, and contractual requirements regarding data security and document management.
- Conduct quality checks to ensure documentation meets ISO 9001 standards.
- Develop and implement a records management system for accurate and efficient records management.
- Provide training and support to employees on documentation management systems and procedures.
- Review and proofread documentation for accuracy and clarity.
- Perform other related duties as assigned.
Requirements:
- Proven experience in documentation management, preferably within a quality management system.
- Strong understanding of ISO 9001 standards and quality management principles.
- Experience with document management systems and records management systems.
- Excellent organizational and communication skills.
- Ability to thrive in a fast-paced environment and prioritize tasks effectively.
- Strong attention to detail and analytical skills.
- Experience with data management and data entry.
- Proficiency in proofreading and editing.
- Ability to collaborate with various departments and stakeholders.
- Strong technical skills and familiarity with computer software applications.
Education and Experience:
- Bachelor’s degree in a related field.
- At least five years of related experience, including a minimum of one year in a supervisory or lead role.
- Certification in document control, records management, or ISO 9001 is a plus.
- Previous experience supporting a business unit or division is advantageous.
Skills and Abilities:
- Proficient in MS Office or equivalent software.
- Competent in internet skills, including email, group messaging, and information gathering.
- Excellent verbal and written communication skills.
- Effective time management skills with a proven ability to prioritize and meet deadlines.
- Ability to maintain confidentiality and exercise discretion and good judgment.
Physical Demands:
- Typical office environment demands, including typing, sitting, and looking at a computer monitor for extended periods.
- Occasional lifting, carrying, moving, and positioning objects weighing up to 51 pounds.
- Regular bending, stooping, crouching, ascending, and descending when performing job functions.
