A growing Biotech company in the Waltham area is looking for an experienced Executive Assistant to manage operations and high-level communication for an Executive. As the primary contact for top leadership, this position requires a professional who thrives under pressure, maintains strict confidentiality, and proactively addresses needs in a fast-paced environment.
Responsibilities:
- Manage complex calendar, including scheduling meetings, travel arrangements, and appointments for Executive
- Arrange & coordinate meetings/events (Board retreats, management dinners, etc.)
- Screen emails, archive and professionally compose replies/correspondence
- Prepare reports, presentations (investor, Boards, partners) and memos when required.
- Prepare the monthly expense summary.
- Act as a liaison between the Executive and internal/external stakeholders.
- Handle sensitive and confidential information with discretion.
- Manage personal appointments and commitments.
- Coordinate travel logistics, including flights, accommodations, and itineraries.
- Manage vendors when required.
- Assist with board meetings and other high-level gatherings.
- Serve as a point of contact for important clients and partners.
- Liaise with Leadership team and internal staff on behalf of the Executive.
Requirements:
- Bachelor's degree
- 3-5 years of executive level support
- Prior experience supporting Board is required
- Exceptional time management and prioritization skills
- Strong interpersonal skills and professional demeanor
- Strong organizational skills and ability to prioritize multiple tasks with excellent attention to detail.
- Expert written and verbal communication skills
- Proactive problem-solving and decision-making capability.
- Discretion and confidentiality in handling sensitive information
- Proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook and Excel.
