We are seeking a seasoned, dynamic and highly organized Executive Personal Assistantto support a prominent High Net Worth CEO. This role requires exceptional organizational skills, discretion, and the ability to handle a wide range of administrative business tasks with efficiency and professionalism, as well as handling personal errands and tasks as needed.
Responsibilities:
- Coordinate and manage Principal’s complex schedule, including meetings, appointments, travel arrangements, and speaking engagements.
- Anticipate scheduling conflicts and proactively resolve them.
- Collaborate with team members to facilitate Principal smoothly across several companies.
- Serve as the primary point of contact for the Principal, screening and prioritizing incoming communications (emails, calls, mail).
- Draft and prepare correspondence, presentations, and reports as needed.
- Arrange all aspects of domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Ensure travel plans align with the Principal's preferences and business priorities.
- Assist in planning and coordinating events, conferences, and seminars, both onsite and offsite.
- Manage logistics, guest lists, and other event-related tasks.
- Handle personal and business-related administrative tasks efficiently and confidentially.
- Maintain files, records, and databases in an organized manner.
- Run personal errands such as shopping, picking up dry cleaning, and other miscellaneous tasks as required.
- Support special projects and initiatives as assigned by the Principle.
- Conduct research, compile data, and prepare summaries or reports as needed.
- Build and maintain positive relationships with key stakeholders, clients, and business partners.
- Act as a liaison between the Principle and internal/external contacts.
Qualifications:
- Proven experience (5+ years) as a Personal Assistant, Executive Assistant to a High Profile, High Net Worth individual.
- Composed, Professional demeanor fueled by competence.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong written and verbal communication skills.
- Utmost Discretion and confidentiality in handling sensitive information.
- Tech savvy, proficient with Mac Computers and iPhones.
- Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adjust to changing priorities and schedules.
- Knowledge or interest in sales training, real estate, or entrepreneurship is a plus.
- Availability to work flexible hours, including evenings and weekends when necessary.
- Willingness to travel and adapt to last-minute changes.
- Valid driver’s license and clean driving record.
