Our client, a well-respected law firm, is seeking an experienced Estate Administration/Probate Paralegal to support attorneys with the preparation and organization of legal documents related to estate and probate administration. The ideal candidate will have a strong background in probate administration, including reviewing wills, assets, and managing estate-related processes from start to finish. This role requires managing multiple clients and handling complex legal work, all while maintaining high attention to detail and confidentiality.
Key Responsibilities:
- Document Preparation: Draft and prepare various legal documents related to estate and probate administration, ensuring accuracy and compliance with state and federal laws. Produce documents based on verbal and written instructions, notes, and drafts.
- Client Communication: Serve as the primary point of contact for clients, gathering necessary information, providing updates on estate administration progress, and responding to inquiries. Manage a caseload of 20+ clients, organizing large volumes of information and calls.
- Research & Analysis: Conduct legal research on relevant laws and regulations impacting estate administration. Assist in preparing legal responses and addressing recurring client requests.
- Record Keeping: Maintain organized, accurate client files and ensure timely filing of legal documents. Manage deadlines for probate and estate administration proceedings.
- Coordination with Attorneys: Collaborate closely with attorneys to review, draft, and revise estate administration documents. Assist in scheduling meetings and facilitating communication between attorneys and clients.
- Probate Assistance: Support probate proceedings by preparing probate documents and managing court filings. Act as the liaison between the attorney and relevant parties throughout the probate process.
- Compliance and Ethics: Uphold ethical standards and confidentiality while managing sensitive client information. Stay current on laws and regulations affecting estate administration.
- Administrative Support: Provide general administrative assistance, including scheduling appointments, managing attorney calendars, and preparing billing statements.
Required Qualifications:
- Minimum of 5 years of experience as a paralegal supporting estate administration attorneys.
- Experience working within the tri-state area (TN, GA, AL) is preferred.
- Bachelor’s degree in business management or a related field is preferred.
- Ability to independently solve practical problems and handle a wide variety of situations.
- Strong organizational skills, project management experience, and the ability to multi-task effectively.
- Proactive problem-solving skills and attention to detail.
- Demonstrated ability to maintain strict confidentiality.
Preferred Technical Skills:
- Proficiency in legal research tools such as WestLaw, NetDocs, HotDocs, and SurePoint (formerly Rippe).
- Strong working knowledge of Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
- Familiarity with legal procedures and terminology.
