FOUNDATION ASSOCIATE
This is a hybrid position requiring three (3) days per week in-person in the downtown Chicago, IL office.

Now celebrating its 75th year, the American Osteopathic Foundation (AOF) has grown into one of the nation’s largest providers of educational scholarships, research grants, and international travel stipends to Osteopathic Medical Students. The Foundation’s mission is dedicated to supporting programs and services that promote Osteopathic medicine and enhance patient-centered care. Scope of Role
The Foundation Association position is a newly created opportunity for an individual who has limited experience in the non-profit field, but has the skill set to learn from, and support, AOF’s functional experts in 1) Programs and Scholarships 2) Event Development and 3) Campaign Activities. The Foundation Associate will bring energy, organization and support for two critical departments on the verge of exponential growth. This position requires excellent organizational skills, project development skills, technical/ database maintenance experience, and the ability to communicate with a diverse array of constituencies - verbally and in writing. There will be a good deal of verbal and written communications so attention to detail, accuracy, and timeliness is an essential part of this position. As well as the ability to think and work independently once trained.
Duties & Responsibilities
- Partner with Campaign Director to create materials, maintain donor prospect lists and organize communications for all elements of the AOF’s first Major Gift Campaign
- Serve as the lead contact or organizer for Cabinet Meetings, Committee Meetings and Donor Receptions that may take place throughout the year, paying special attention to the event’s goals, objectives, budget, etc.
- Work closely with each Director(s) in advance of Committee or Cabinet meetings to prepare the agenda and supporting materials; distribute accordingly.
- Attend all Cabinet and Committee meetings as assigned; prepare minutes for Director’s review. Work with the Campaign Director and Development Staff to create and distribute heartfelt donor acknowledgment letters.
- Work closely with the Programs Director to review scholarship applications for eligibility; communicate to those who are missing components prior to the portal closure. Work closely with the Programs Director to send Scholarship, Grants and Award notification letters.
- Partner with the Marketing Director to promote Spring, Summer, and Fall Award winners on AOF social platforms.
- Partner with data entry consultants to capture donor information and/or award winner information on an ongoing basis.
- Run queries and reports as requested from Raisers Edge; utilize consultants when scope is too broad or complex.
Additional administrative duties include:
- Oversee Personal and Organizational AOF Email Inboxes; review incoming correspondence and address (or forward) accordingly
- Support tasks as needed from the Campaign Director, Director of Development, Major and Planned Gifts Officer, and the Programs Director
- Support the AOF’s annual gala as requested.
Overarching Activities -- AKA The Fun Stuff:
- Programs (Grants Management Software) The Foundation Associate will help the Programs Director coordinate application activities, from beginning to end, including: Grant Application portal set up, to applicant submission reviews, to reviewer assignments and communications, various troubleshooting (i.e. escalation to Director), report generation, award winner notification and award winner enter into Raisers Edge.
- Campaign (Raiser’s Edge CRM Data Base) The Foundation Associate will be at the center of all activities to execute the AOF’s first ever Major Gift Campaign. Working closely with the Campaign Director, the FA will be part of AOF’s Donor Management, including research, creating Biographical Profiles, reviewing gift history, ensuring data is accurate and up to date, coordinating volunteer meetings and donor solicitations and keeping track of pledges (in house or pending).
- Events (GiveSmart) The Foundation Associate will also lend a hand on the annual Honors Gala, as this event brings award winners and donors, who make our grants and scholarships possible together. The Honors Gala is an evening of celebration as well as cultivation and it is also an event that takes “all hands-on deck” from the AOF Team.
Qualifications
Education and Experience:
- Bachelors degree, plus eight years of related office/business experience preferred or
- Masters degree, plus 3 years of related office/business experience preferred
Special Skills:
- Knowledge of modern principles, practices, and methods of and business administration and technology
- Ability to maintain confidentiality
- Strong communication (verbal, written, listening), organizational, and interpersonal skills
- Ability to balance, prioritize, and complete numerous projects simultaneously
- Ability to work effectively with others in a team-oriented, fast-paced environment
- Advanced expertise in and Microsoft programs including Word, Excel, and PowerPoint
- Strong writing and proofing ability; keen attention to details
- Working knowledge of customer relationship programs; Raisers Edge a plus
While this may be a hybrid position, it currently requires three (e) days in the office. The candidate may work the remaining time remotely.
