Responsibilities:
Maintain Commercial Bid Log:
- Maintain E-copy of all sales documents such as:
- Written Proposals - Sent
- Customer Signed Proposals - Received
- Call Out for Major Equipment Quotes
- Complete Project Scope and Requirements Checklist
- Pre-construction Kickoff Notes
-Create customers and projects in Service Titan.
-Facilitates the definition of project scope, goals and deliverables along with PM.
-Facilitate plumbing or other trade subcontracts as needed per project.
-Create and communicate project timelines.
-Monitors and reports on the progress of the project to all appropriate individuals during weekly Commercial Project status meeting.
-Arrange and attend Kick-Off meeting with Estimator, PM, and Foreman if applicable.
-Complete permits and coordinate payments for permits.
-Minimizes company exposure and risk by preemptively identifying project issues.
-Assist Project Manager in identifying and implementing corrective actions when needed.
-Create PO’S for major equipment and validate quotation’s pricing.
-Track project’s status as it relates to equipment arrival and labor deployed.
-Monthly reviews of project’s invoicing progress with PM and Accountant for AIA & Progressive billing as well as final invoices when projects are complete.
-Ensure project documents are complete, current and stored appropriately.
-Assist customer service and management with existing HVAC issues and other tasks as they arise.
-After completion of job, retrieve field check list documents from PM and upload electronic files.
-Review and communicate commercial project Job Cost analysis.
Requirements to be successful:
-4-year Bachelor’s degree in Construction Management or equivalent combinations of technician training and experience.
-Ability to read and interpret commercial blueprints.
-Ideal 2-3 years in Construction or has worked in an office environment as a CSR or office assistant.
-Proficient in Microsoft Office products including Word, Excel, PowerPoint and Outlook.
-Adapts quickly to change, copes with pressures of time, responsibility, and workload effectively.
-Delivers commitments in a timely, efficient and cost-effective manner to ensure results are achieved.
-Former experience with AIA clerical construction documentation desired.
-Maintains good working relationships with others at all levels within the organization.
Schedule: 40 hours 1st shift 7:30am-4:00pm
