Persistent Systems is seeking an Associate Contracts Administrator to support the day-to-day operations of the company’s Business Operations team through the Contracting department. You will be responsible for responding to inquiries from current and prospective customers, reviewing and accepting purchase orders in ERP system, supporting on site and/or remote sales employees with training and information requirements, sales data analysis, and preparing documentation. This role is available in our Pinehurst, NC office location.
Position Responsibilities
- Support the Business Operations Manager, Director of Contracts, customers and sales support to increase contractual accuracy and the efficiency of the Order compliance functions
- Create, review, and maintain records using INFOR, shared drives, Salesforce.com and other IT systems available; conduct queries and analysis using Salesforce tools
- Maintain KPI of < 2 days to contact the customer or designated point of contact for each purchase order. Assist in keeping Customers updated on contractual information required to accept a purchase order
- Enforce the data integrity of INFOR, shared drives, Salesforce.com and other IT Systems available for the purpose of documentation, record keeping and validating purchases and contracts to effectively minimize risk for the company
- Operate within the contracting team, as the order compliance specialist with the Order Audit operations team
- Support exportation of the Wave Relay® system and its components in compliance with all federal laws and regulations
- Support customers in a contracts capacity as required; answer phone calls; email communication, review FAR and DFAR requirements
- Support shipping team in providing guidance to customers on shipping terms
- Act as a liaison between the Sales, and contracts, to the customer
- Assist with preparation weekly sales meeting minutes and any follow-ups as needed
- Perform administrative functions including updating calendars and coordinating meetings
- Work closely with the Programs and Operations team
Minimum Qualifications
- Bachelor’s degree in Business Administration or a related field or equivalent experience
- Prior work/internship experience supporting sales teams and/or in a customer-facing position
- Experience in managing projects and allocating resources towards project completion
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook with the ability to learn new IT systems quickly
- Personal drive to create professional relationships
- Articulate communication and writing skills
- Strong sense of urgency and organization
- Must have the ability to obtain a United States Security Clearance
