We are seeking a highly organized, detail-oriented, and proactive Project Coordinator/Operations Admin to join our growing team. This key role is integral to our operations, serving as the backbone of communication between our field crews, in-house operations, and sales teams. The Project Coordinator/Operations Admin will take charge of critical responsibilities that directly impact the success of our projects. One of the primary duties is the meticulous daily data entry of field reports, ensuring that every detail is captured accurately and efficiently for future reference. The ability to maintain flawless records is essential, as these reports will guide ongoing project decisions. In addition, the role will oversee travel logistics, ensuring our field crews arrive at job sites fully prepared and on time, with all necessary arrangements expertly managed. This dual responsibility underlines the importance of attention to detail in both administrative and operational tasks, positioning the successful candidate as a vital contributor to the smooth and efficient execution of our projects.
Responsibilities:
- Orchestrate all travel arrangements for technicians, including flights, hotels, rental cars, and ride-sharing services, ensuring every detail is accounted for to avoid last-minute disruptions.
- Perform clerical duties such as filing, photocopying, and organizing documents with impeccable attention to detail in our Drive/Database.
- Assist with order entry and inventory management, keeping records accurate and up to date at all times.
- Compose daily, weekly, and monthly project correspondence with a focus on clarity and thoroughness.
- Maintain and update daily reports from field crews, ensuring precise documentation of project progress and outcomes.
- Assist with proofreading and editing documents to ensure they meet the highest standards of accuracy and professionalism.
- Utilize Microsoft Suite applications for efficient data entry, document management, and record-keeping.
- Provide administrative support to both office staff and field crews, ensuring seamless operations across departments.
Skills:

- Prior experience in a clerical or administrative role is preferred, with additional experience in the industrial or construction field being a strong plus.

Please note this is a full-time position with regular office hours, Monday through Friday, 8 AM to 5 PM. However, due to the travel of our field crews, weekend trouble shooting, and travel assistance is required at times.
