Job Summary:
Join Illuminate USA as an Executive Assistant and be part of our groundbreaking venture in renewable energy. Support our executive team with administrative tasks, meetings, communication coordination, and project assistance. Responsibilities:
- Administrative Support: Provide comprehensive administrative support to our executive team, including the CEO and other senior leaders. Manage their calendars, schedule meetings, arrange travel, and handle correspondence to ensure efficient time management and productivity.
- Communication Coordination: Act as a liaison between the executive team and internal/external stakeholders. Draft and proofread communications, presentations, reports, and other documents, maintaining a high level of professionalism and attention to detail.
- Meeting Coordination: Organize and coordinate executive-level meetings, conferences, and events. Prepare meeting agendas, take minutes, and follow up on action items to ensure seamless execution and follow-through.
- Data Management: Handle sensitive and confidential information with utmost discretion. Maintain and update executive records, including contact lists, organizational charts, and other key documentation.
- Project Support: Assist in the coordination and management of special projects initiated by the executive team. Collaborate with cross-functional teams to gather data, track progress, and ensure deadlines are met.
- Travel Arrangements: Plan and arrange domestic and international travel for executives, including booking flights, accommodation, and ground transportation.
- Expense Management: Monitor and manage executive expenses, ensuring timely submission and accurate reconciliation of expense reports.
- Office Management: Support the smooth functioning of the executive office by overseeing supplies, equipment, and coordinating with relevant departments for any office-related needs.
- Prioritization and Time Management: Assist executives in prioritizing tasks and managing their time effectively to maximize productivity and meet critical deadlines.
- Ad-hoc Support: Provide ad-hoc support to the executive team as needed, contributing to various initiatives and supporting key decision-making processes.
Qualifications:
- At least 3 years of proven experience as an Executive Assistant or in a similar role, supporting C-level executives or senior leadership.
- Proven experience as an Executive Assistant or in a similar role, supporting C-level executives or senior leadership.
- Exceptional organizational and multitasking abilities, with the capacity to handle multiple priorities and adapt to changing situations.
- Strong written and verbal communication skills, with keen attention to grammar and formatting.
- Proficiency in office productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaborative tools.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and as part of a team, fostering a collaborative and positive work environment.
- Excellent problem-solving skills and the ability to anticipate needs and proactively address challenges.
- Knowledge of renewable energy or manufacturing industries is a plus but not required.
