Your Role:
As an Executive Assistant, you will play a critical role in optimizing the CEO's time at work and home. You’ll manage a wide range of tasks, from administrative support to personal errands, enabling the CEO to focus on driving the firm’s growth.
Key Responsibilities:
- Provide high-level administrative support to the CEO
- Draft and edit emails; manage and organize the CEO’s inbox
- Oversee expense tracking in QuickBooks and ensure accuracy
- Organize meetings, manage the CEO's calendar, and prioritize tasks
- Coordinate the family calendar, including school, camps, sports, and travel
- Work closely with the CEO's spouse on family scheduling
- Arrange travel and accommodations for the CEO and family
- Process payroll and commissions for the entire office
- Transition office systems from third-party QuickBooks to AI-driven solutions
- Maintain confidentiality and exercise sound judgment in all tasks
- Run personal errands and manage company car maintenance
- Assist with personal health insurance and benefits management
Minimum Requirements:
- Advanced proficiency in Microsoft Office
- Excellent time management and organizational skills
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Ability to multi-task effectively and work with a sense of urgency
