POSITION SUMMARY:

We are looking for a dedicated Payroll and Leave Coordinator to join our non-profit team. In this role, you will manage payroll processing and employee leave programs while ensuring accuracy, compliance, and a positive experience for our team. ESSENTIAL FUNCTIONS:
Payroll Administration:
- Process payroll for 1,000+ employees, including hourly, salaried, and temporary staff, ensuring accurate and timely payments.
- Manage payroll deductions, benefits contributions, and tax withholdings while maintaining compliance with applicable regulations.
- Address and resolve payroll-related inquiries and discrepancies with empathy and efficiency.
- Prepare and file required payroll reports, including compliance documentation.
Leave Management:
- Oversee the administration of employee leave programs, including paid time off (PTO), sick leave, family and medical leave (FMLA), and other relevant leave types.
- Ensure accurate tracking of leave balances and process leave requests in alignment with non-profit policies and legal requirements.
- Stay up-to-date on federal, state, and local leave regulations to maintain compliance and provide accurate guidance to employees.
- Serve as a resource for employees on leave policies and procedures, offering support and clarity.
Compliance & Reporting:
- Ensure adherence to payroll regulations and laws, and leave policies specific to the non-profit sector.
- Prepare and review compliance reports related to payroll and leave management.
- Conduct periodic audits of payroll and leave records to ensure accuracy and policy adherence.
Data Management & System Maintenance:
- Maintain and update payroll and leave data within the HRIS or payroll system, ensuring data integrity and confidentiality.
- Coordinate with IT or vendors for system updates, troubleshooting, and enhancements.
- Develop and implement processes to improve the accuracy and efficiency of payroll and leave administration.
Reporting & Analysis:
- Generate and analyze payroll reports to provide insights into headcount, turnover, and compensation trends.
- Collaborate with management to assist with budgeting and forecasting related to payroll and compensation.
- Offer recommendations based on payroll data to support financial planning and organizational goals.
Employee Support:
- Provide exceptional support to employees regarding payroll and leave inquiries, demonstrating compassion and professionalism.
- Conduct informational sessions on payroll and leave policies to enhance employee understanding and engagement.
- Address employee inquiries regarding payroll, benefits, and deductions with empathy and professionalism.
- Resolve payroll discrepancies and issues in a timely manner, maintaining a high level of accuracy.
- Ensure that payroll processes support a positive employee experience and align with the organization’s values.
- Address and resolve employee concerns related to payroll and leave in a timely manner.
Process Improvement:
- Identify opportunities to streamline payroll and leave processes and implement improvements to enhance efficiency.
- Develop and update policies and procedures to align with best practices in the non-profit sector.
- Stay informed about industry trends and recommend adjustments to ensure optimal practices.

QUALIFICATIONS:
- Bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field. Professional certification in payroll (e.g., CPP) is a plus.
- Minimum of 3 years of experience in payroll and leave administration, ideally within a non-profit organization.
- Proficiency in payroll software and Microsoft Office applications, particularly Excel.
- Strong knowledge of payroll regulations and laws, and leave policies relevant to non-profits.
- Excellent organizational, analytical, and problem-solving abilities.
- High attention to detail and accuracy in managing payroll and leave data.
- Experience in handling payroll audits, inspections and compliance assessments.
- Good organizational and time management skills to meet strict payroll deadlines and manage multiple priorities.
- Effective communication and interpersonal skills with a focus on providing outstanding support.
- Ability to handle confidential information with discretion and integrity.

SALARY:
Starting at $65,000.00 if annualized, $2,708.34 semimonthly
