Administrative Assistant
Overview: We are looking for an organized and detail-oriented Administrative Assistant to provide support across various departments within the company. The ideal candidate will handle day-to-day administrative tasks, ensuring smooth office operations, and will have strong communication and multitasking abilities.
Responsibilities:
- Answer and direct phone calls, emails, and inquiries to the appropriate departments.
- Orders parts for technicians as needed
- Manage calendars, schedule appointments, and coordinate meetings.
- Coordinates paperwork for scheduled preventative maintenance inspections: work orders, service history, inspection reports, audit reports, etc.
- Prepare and organize documents, reports, and presentations.
- Maintain office filing systems, both electronic and physical.
- Greet and assist visitors, ensuring a welcoming and professional environment.
- Order and maintain office supplies and equipment.
- Assist in processing invoices, purchase orders, and other administrative paperwork.
- Handle data entry tasks and ensure accurate record-keeping.
- Provide support for special projects and other administrative duties as assigned.
- Coordinate travel arrangements and logistics for staff members.
- Collaborate with other departments to support overall company operations.
