Job Title: Project Coordinator Program Management & Procurement Support
Job Summary: We are looking for an organized and proactive Project Manager to join our team, playing a pivotal role in overseeing the migration of data from legacy systems to a new cloud-based solution. This position will be an integral part of the Program Management and Procurement teams, ensuring the smooth execution of tasks and supporting overall project goals. The ideal candidate will have a strong background in program management, excellent communication skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
1. Program Management:
- Support the planning, organization, and execution of program activities alongside the Program Manager and Workstream Leads.
- Monitor program timelines, schedules, and track progress to ensure milestones are met.
- Manage incoming communications, including emails and phone calls, directing them to the appropriate parties.
- Coordinate and facilitate meetings, conference calls, and appointments, with a focus on preparing and distributing meeting agendas and minutes.
- Assist in the preparation and maintenance of program documentation, reports, and presentations, ensuring accuracy and timeliness.
- Attend and document meetings related to software configuration by business teams, capturing key discussion points, decisions, and next steps.
- Collaborate with cross-functional teams to enhance communication and ensure alignment on program objectives and deliverables.
2. Procurement Management:
- Support the procurement process by researching vendors, obtaining quotes, and preparing purchase orders.
- Maintain accurate records of all procurement transactions, including communications with vendors and documentation of quotes and purchase orders.
- Coordinate with vendors and internal teams to ensure the timely delivery of goods and services, resolving any issues or discrepancies as they arise.
Qualifications:
- Proven experience in project management, with a preference for experience in program management or procurement roles.
- Strong collaborative skills, with the ability to work effectively with diverse teams.
- Exceptional written and verbal communication skills, including active listening.
- Excellent attention to detail, with strong data entry, record-keeping, and problem-solving abilities.
- Ability to interact professionally with internal and external stakeholders.
- Capable of working independently with minimal supervision while also being a team player.
Education & Experience:
- Bachelor’s degree in business administration, supply chain management, or a related field is preferred.
- Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) and other relevant software applications.
Work Environment: This position operates within a hybrid work model. Employees are expected to work a minimum of four business days per month on-site at our Boston office, with the flexibility to work remotely for the remainder of the time, subject to approval. Employees must be able to report to the Boston office with little or no notice if necessary. The successful candidate may be required to work on-site during the initial training period and potentially on a more regular basis, depending on the needs of the program.
Hours: This is a full-time position, Monday through Friday, excluding holidays.
