We are seeking a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to our team. The ideal candidate will be responsible for maintaining office equipment, assisting in preparation for events, and performing various administrative tasks to ensure the smooth operation of our office.
Duties:
- Facilitate backup systems for all computers, use at least two methods
- Information technology support, equipment maintenance & purchasing
- Software programs support: Microsoft Office 365, Google Workspace for non-profits, Zoom
- Office equipment support (Xerox AltaLink C8130 Color Copier Printer Scanner, Grandstream6204 IP PBX Appliance, Cisco network equipment, Ubiquiti UniFi security camera network, Dell and Mac computer systems, laser printers, external drives, NAS device)
- Maintain office equipment and computer inventory
- Receptionist – answering phone and greeting visitors, facilitating tours
- Incoming/outgoing mail support
- Monitor, forward and follow-up email from Kerr Center's general mailbox
- Maintain cash received ledger and make deposits
- Maintain educational materials; prepare materials for events, archive materials, record distribution numbers.
- Prepare yearly budget for your area of responsibility
- Secretarial support to staff as needed
- Maintain Library materials
- Monitor and purchase operating supplies
- Monitor office building maintenance needs, including dehumidifiers, air purifier, and water filters
- Facilitate recycling program: paper, aluminum cans, office equipment/supplies
- Daily close building
- Other duties as assigned by supervisor
Experience:
- Proven experience as an Executive Administrative Assistant or similar role
- Proficiency in office management software and tools
- Strong clerical and administrative skills
- Familiarity with phone systems and handling multiple lines
- Excellent proofreading abilities with keen attention to detail
- High level of computer literacy with proficiency in MS Office 360 suite
- Ability to multitask, prioritize tasks, and meet deadlines efficiently
- Well-developed organizational skills
- Excellent verbal and written communication skills
- Ability to establish priorities, work independently & proceed with objectives with little supervision
