Job Purpose
The Administrative Assistant shall be responsible for organizing, facilitating, and analyzing ongoing jobs and bids to ensure optimal profitability.
Duties and Responsibilities
Responsibilities
- Develop understanding of the scope, goals, and timeline of each project
- Communicate on a regular basis with project team and suppliers regarding project schedule
- Develop knowledge of production operations
- Maintain project dashboard
- Update and track job sheet
- Update and track all bids won/lost
- Assist with job supervisor handoff meetings
- Prepare and manage job billings and manage monthly AR
- Organize detailed outline of scheduled industry trade shows
- Monitor and maintain inventories of production supplies and materials
- Assist Project Administrator, Sales Manager, and Estimator with day to day tasks
- Manage and approve supplier and subcontractor invoices
- Manage outgoing mailings for public bids and job submittals
