My client is a Real Estate Property Management Services company handling on-site administration, accounting, construction mgmt, purchasing, and capital budgeting for rent-controlled properties mainly in the NYC area. This will be the first dedicated COO for the firm.
Responsibilities include:
- Develop and Administer Standard Operating Procedures (SOP) for site management office operations, purchasing and Technical Services Department, Client Relationship Management.
- Draft and finalize management company questionnaires and due diligence forms when attaining new business or if owners are refinancing a property currently in the management portfolio.
- Oversee and spearhead portfolio annual review and budget processes, keeping in line with the company’s goals and objectives.
- Works with the On-site Property Manager, On-site Technical Manager and maintenance staff to ensure that all properties in the portfolio meet local codes and requirements.
- Monitor Key Performance Indicators (KPI) for residential portfolio that one will use with the field team to assess performance.
- Provide strategic improvement plan for Watch list properties and oversee the implementation and progress with the Regional and Property Managers.
- Vendor Management –Work with Purchasing and Risk Management to ensure vendor certificates of insurance are valid and meet necessary requirements.
- Ensure managers and maintenance staff receive required training and maintain necessary licensing and certifications (i.e. Fire Safety, standpipe and sprinkler, certifications of fitness for boiler operation, etc.)
- Assist in the due diligence on potential acquisitions to the portfolio.

- Collaborate with Human Resources Department to ensure proper administration of company’s policies and procedures, Labor Law Compliance and OSHA Safety compliance and adherence.
- Keep informed regarding pending industry changes, trends and best practices and assess the potential impact of these changes on the organizational process.
- Serve as liaison between Site owner, owner representatives and Management company CEO, Senior Management.
