Job Title: Membership Coordinator, Greater West Plains Area Chamber of Commerce
Reports to: Executive Director
The Greater West Plains Area Chamber of Commerce is dedicated to supporting local businesses and fostering a thriving economic environment in our community. We serve as a voice for our members, advocate for business-friendly policies, and offer resources to help businesses grow and succeed.
We are seeking a proactive and organized Membership Coordinator to provide comprehensive support to the Chamber's leadership team. The ideal candidate will possess excellent communication skills, knowledge of the West Plains community, a strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This position serves as the most frequent contact with Chamber Members and the general public. Key responsibilities include, but are not limited to:
· Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare meeting agendas and minutes.
· Serve as the primary point of contact for internal and external communications. Draft correspondence, reports, and presentations as needed, as well as designing and scheduling electronic communications to members.
· Plan and execute Chamber events, including (but not limited to) luncheons, after-hours events, ribbon cuttings, open houses, workshops, networking functions, and community outreach initiatives. Coordinate logistics, manage RSVPs, and communicate with vendors.
· Assist with membership inquiries, onboarding new members, and maintaining membership records. Support membership engagement initiatives.
· Conduct research on local business trends, legislative issues, and community needs. Prepare reports and presentations for board meetings and other stakeholders.
· Oversee office operations, ensuring that supplies are stocked and the workspace is organized. Assist in maintaining the Chamber’s website and social media presence.
· Accurately record all transactions involving payments and/or petty cash as well as compiling and delivering all bank deposits. Accurately and openly communicate with Chamber accounting firm.
· Serve as office assistant and receptionist, setting the tone in assisting visitors and callers as efficiently as possible.
· Work closely with staff and volunteers to support various Chamber initiatives and projects. Foster positive relationships with members and the community.
· Other duties as deemed necessary by the Executive Director.
Qualifications:
· 3+ years of experience as an executive assistant or in a similar administrative role.
· Proficient in Microsoft Office Suite familiarity with project management tools.
· Excellent written and verbal communication skills.
· Ability to prioritize tasks and manage time effectively.
· Strong problem-solving skills and attention to detail.
· A positive attitude and a willingness to learn.
