Our mental health office is seeking a Front Office Coordinator to join our team. In this role, your
day-to-day responsibilities involve answering phones, managing incoming and outgoing
correspondence to include faxes, referrals, and taking messages. Other tasks include processing
new patient forms and keeping track of our inventory of office supplies. You may also assist with
billing and scheduling and chart auditing. While we prefer applicants who have experience as a
receptionist or administrative assistant, the most important qualities are a professional
appearance, self-starter and a mature positive attitude. Being able to multi-task and prioritize
responsibilities is a must!
Responsibilities:
- Answer and direct phone calls in a professional manner
- Greet patients on arrival and collect co-pay and balances. (Check-in and check-out)
- Maintain office filing and record-keeping systems
- Prepare and distribute correspondence, memos, and reports
- Schedule appointments and manage calendars
- Assist with organizing meetings and events
- Manage office supplies inventory and request orders when necessary
- Perform general clerical duties such as copying, scanning, and mailing
- Maintain a clean and organized office environment
Qualifications:
**Recent front medical office experience within the last 12 month (REQUIRED) No gaps in
employment
- Proven experience as an office secretary or in a similar administrative role
- Proficient in using office equipment such as computers, printers, and phone systems
-Proficient in Microsoft Word and Adobe applications
- Excellent verbal and written communication skills
- Strong organizational and time management skills (Supervisor experience preferred)
- Attention to detail and problem-solving abilities
- Ability to prioritize tasks and work independently
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- High school diploma or equivalent required; additional certification in office administration is
preferred by not required.
