As an Executive Assistant to the President, you will offer high-level administrative support tailored to the needs of the President. Your role involves close collaboration with the executive, handling a variety of complex administrative responsibilities with a high degree of discretion and independent judgment.
**Key Responsibilities:**
- Oversee a range of office and administrative functions, such as directing phone calls, arranging visitor meetings, managing expense reports, handling timekeeping, processing and coding invoices, maintaining records, and addressing other corporate administrative tasks.
- Efficiently manage the President’s calendar, scheduling meetings and work projects with both internal senior management and external contacts to maximize time effectiveness.
- Comprehend and support the President’s objectives and plans by anticipating needs and preparing relevant materials for meetings.
- Ensure the President is thoroughly prepared for meetings, keeping their schedule on track, and providing necessary documents and materials ahead of time.
- Organize and oversee the President’s domestic and international travel arrangements, ensuring alignment with travel policies and optimizing schedules for meetings with key stakeholders.
- Stay informed about corporate travel policies, including passport and visa requirements, travel advisories, and health precautions for international trips.
- Maintain consistent communication with the President during travel to handle changes and address any issues that may arise.
- Provide administrative support across the C-Suite, including preparing specialized reports, managing Outlook distribution lists, and ensuring compliance with document retention policies.
- Act as the primary Administrative Assistant for the C-Suite, coordinating with other assistants for backup, event planning, office relocations, and marketing initiatives.
- Support Health, Safety, and Environmental (HSE) initiatives, including impact reporting and other related administrative tasks as directed by the Director of HSE.
**Qualifications:**
- Must be legally authorized to work in the country where the position is located.
- High School Diploma or equivalent GED required.
- Minimum of 10 years of experience in administrative roles supporting senior management.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) for data manipulation, table creation, and graphical presentations, as well as Outlook.
