FAS is a rapidly growing higher education consulting firm searching for a Manager of Consulting Operations to help grow and scale the consulting division of the business.
The position will collaborate closely with the Vice President of Consulting & Compliance and other
operational leaders throughout FAS. Our Manager of Consulting Operations will be an exceptional project manager connecting the right people, processes, and systems to ensure client success and operational excellence.
Our clients are colleges and universities across the country. The firm manages 250+ client engagements annually. Engagements can run from 5-6 weeks upwards to a year, depending on the scope. Many engagements require resource allocations across multiple functions such as technology optimization, compliance, management consulting, and staffing support. The Manager of Consulting Operations assigns team members and resource allocations to support these client projects and regularly adjusts those resource allocations throughout the various stages of the engagement or as certain project milestones are achieved. To be successful, the Manager of Consulting Operations needs to be passionate about client success, operational excellence, and making a meaningful impact on the mission of FAS.
Responsibilities:
1. Manage consultant assignments and client placements for consulting and interim staffing client engagements.
a. Create highly efficient tech-enabled systems to place the best-fit consultants with clients.
b. Consultant assignments are made by cross-referencing a skills matrix + availability to match the right consultant
to the goals and objectives of each client.
c. Collaborate with the VP of Consulting & Compliance on special assignments as needed.
d. Set up workflows in the project management system scheduling major activities and milestones for each client
engagement. Templated workflows have been designed by the VP Consulting and Compliance to ensure
standardized work.
e. Ensure time tracking systems are in place and followed to ensure accurate invoicing to clients.
f. Approve travel resources for engagements, if needed, in accordance with FAS travel policies.
g. Ensure weekly consultant reports are submitted and known issues or exception reports are directed to the Vice
President of Consulting & Compliance for action.
h. Adjust resource allocations throughout each stage of the engagement or as major milestones are achieved.
2. Lead the client onboarding process for new client engagements. Major tasks include:
a. Manage kickoff calls with new clients immediately following receipt of a signed contract.
b. Collaborate with FAS Finance & Accounting to set billing codes, time tracking, and work orders in the NetSuite
(finance ERP).
c. Coordinate with college/university contacts to network and system access to the Student Information System for
our consultants.
3. Optimize the business by tracking and managing to key performance indicators using professional systems and
processes throughout the business.
a. KPI’s include, but are not limited to billable hours per day/per week, utilization rates,
placement rates, average billable rates, and staffing capacity.
b. Prepare and manage dashboard views to support senior leaders for use at management meetings, quarterly
Board meetings, and monthly operating reviews.
4. Coordinate the hiring and onboarding of new consultants in tandem with the Vice President of Consulting &
Compliance.
Expected Qualifications/Skills:
• Cultural fit with the mission and core values of FAS.
• Bachelor’s degree preferred.
• Project management certification highly preferred.
• 5+ years of professional experience in a role requiring a high degree of project management
where resource allocations are fluid or span multiple functions.
• Experience as a project manager in a professional services, consulting, or technology firm
preferred.
• Exceptional at Execution: Project and budget management skills with a proven track record of
establishing plans and following through on-time and on budget.
• Highly comfortable with and able to leverage technology. Certification in a major project
management system like Monday.com, Trello, Asana, etc… or a willingness to earn that
certification within the first 6 months (cost will be paid by FAS).
• Excellent communication (written and verbal) and interpersonal skills demonstrating high
emotional intelligence.
