The Proposal Coordinator will collaborate with and support the proposal team, estimating, business development, communication/creative services, and other departments to plan and produce components of proposals in support of company-wide proposal efforts.
This is a hands-on position that requires the individual to work harmoniously with various departments as well as project team members, subcontractors, and clients during the performance of their duties.
JOB RESPONSIBILITIES
- Prepare assigned materials so that they comply with the Request for Information / Qualification / Proposal requirements with limited day-to-day supervision
- Demonstrated ability to read and interpret solicitation requirements (RFP, RFI, etc.) to develop an outline of required proposal deliverables with the content and structure required to comply with conventions, bid particulars and other submission requirements
- Demonstrated ability to develop and maintain a responsibility matrix and on-going action item log. Receive and send materials and coordinate the deadlines and materials needed with the proposal team
- Track overall progress of the pursuit. Flag issues to Proposal Manager or Senior Proposal Manager as needed
- Generate Cover Letters, Resumes, Project Profiles, and other additional materials for specific opportunities/submission
- Communicate with designated subject matter experts to understand complex solutions and write non-standard responses to RFP questions
- Draft and review narratives for content clarity, compliance, and key messages before each review in the review process
- Ensure all documents produced adhere to corporate brand, compliant with requirements, formatting, and quality standards
- Lead proposal review meetings and provide guidance related to clarity, completeness, compliance, and alignment with solution, win strategy and evaluation criteria
- Prepare proposal for final production either for electronic or print submissions
- Participate in interview presentation and materials development
- Provide suggestions for continuous improvement to the Proposal Team processes and procedures
- Support the maintenance of the proposal content and asset library; transfer any and all updates to project information and resumes to the appropriate database
- Perform assigned market, client and project research efforts related. Document and communicate findings to team
- Support the preparation of project award nominations
- Other duties, as required
QUALIFICATIONS/REQUIREMENTS
- Bachelor’s degree in Business, Marketing, Communications, Journalism, English, or related field or equivalent experience in a fast-paced environment
- Advanced computer skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Visio, in addition to Adobe InDesign and Acrobat
- Excellent writing and editing skills, with the ability to creatively adapt style to fit the market, project, and target audience
- Knowledge/familiarity of construction terminology as it relates to contract delivery methods and proposal submittals, etc.
- Must possess and demonstrate excellent communication skills with a personable, professional demeanor and a collaborative attitude
- Ability to complete multiple priorities with a sense of urgency while maintaining accuracy and with the utmost confidentiality
- Attention to detail, accuracy, spelling, and correct use of grammar in producing/reviewing high-quality products
