Mayzon is seeking a Sample Coordinator to join our team.
Mayzon is a well-established leading supplier of bathroom and household products with offices in New York City, Montreal and New Castle, Delaware. This position is based out of the New York, NY office.
The Sample Coordinator will oversee Samples including moving, packing/unpacking, tracking, organizing, and supporting the teams in preparing for presentations and meetings. You will be responsible for the organization of our sample library and ensuring all samples are appropriately logged out and returned in a timely manner. Duties/Responsibilities:
Track proto/sales samples and communicate any delays to the team.
Manage the distribution of samples while ensuring they reach their appropriate party/destination.
Responsible for identifying opportunities to improve workflow, maximizing utilization or company resources, and recommending the best course of action to appropriate leaders.
Support the preparation and logistics involved with client presentations.
Maintain a database of all samples to accurately track the location of product.
Create and manage timelines of samples for all programs.
Maintain inventory of samples, literature, catalog, etc.
Provide a variety of administrative support to the team in addition to managing miscellaneous projects as needed.
Investigate and recommend optimal shipping options, evaluate shipments and carriers, select the most cost-effective method of delivery.
Manage the coordination and tracking of all incoming and outgoing product samples from carriers (DHL, FedEx, USPS) while ensuring Account Management team is aware of all sample movement.
Organize storage room and work with sales for organization and sample purge process.

Qualifications
Required Skills/Abilities:
Sample Management for all PD and Sales samples.This includes moving/unpacking/packing boxes of samples.
Showroom Management, organization and maintaining tidiness.
Storage Management, organization and maintaining tidiness.
Maintain Smart Sheet Management of all Samples and Sample Inventory
Update and maintain Sample Tracker (requesting, tracking, and receiving all samples)
Sample Review Prep
Ship Samples and Creating Shipping Labels
Customer Meeting Prep
Maintain and Organize the Raw Material and Standards Library
Education and Experience:
2-3 years relevant experience required
Bachelor’s degree in a business related field, preferred.
Demonstrated ability to operate in a cross-functional work environment
Strong project management skills
Extremely organized and driven to streamline process
Excellent written and verbal communication skills
Experience coordinating projects with multiple teams.
Ability to work in a high paced environment and to multitask.
Capability to react quickly with a strong sense of urgency.
Capacity to work on multiple projects simultaneously with short timelines.
Strong proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
Excellent verbal and written communication skills.
Proficient with Microsoft Office Suite or related software programs.
Physical Requirements:
Must be able to commute to the office in Manhattan 5 days a week.
Normal work hours are usually Mon to Fri, 8:30am- 5:30pm.Flexibility with this schedule is available.
May need to lift up to 20 lbs. occasionally which includes moving/packing and unpacking of boxes and samples
