JOB SUMMARY:
As the Office & Front Desk Administrator at Interparfums Luxury Brands, you will play a pivotal role in ensuring the smooth and efficient operation of our corporate office. Your responsibilities will encompass a range of administrative, office management, and front desk duties. DUTIES & RESPONSIBILITIES:
Front Desk Management:
Welcome and greet visitors, clients, and employees in a warm and professional manner.
Manage phone calls, routing them to the appropriate parties or taking messages as needed.
Maintain a tidy and welcoming reception area, ensuring a positive first impression for all guests.
Administrative Support:
Provide administrative support to executives and departments, including scheduling appointments, managing calendars, and coordinating meetings.
Assist in preparing and editing documents, reports, and presentations.
Handle incoming and outgoing mail, packages, and couriers.
Office Organization:
Maintain office supplies, inventory, and equipment, ensuring that all resources are readily available and in good working condition.
Oversee office cleanliness and organization, liaising with vendors for necessary maintenance and repairs.
Event Support:
Assist in the planning and execution of company events, meetings, and conferences.
Arrange catering, setup, and logistics as needed.
Vendor Management:
Interact with external service providers, including vendors and contractors, to ensure the office's smooth operation.
Manage vendor contracts and relationships.
Data Management:
Maintain and update employee records, contact databases, and office-related documents.
Ensure data security and confidentiality.
Safety and Security:
Monitor access to the office, ensuring the safety and security of employees and visitors.
Familiarity with safety protocols and emergency procedures.
Team Collaboration:
Collaborate effectively with colleagues, assisting in projects or tasks as necessary.
Serve as a point of contact between employees and various departments.
QUALIFICATIONS:
Bachelor's degree or equivalent experience preferred.
Proven experience in office administration and front desk management.
Strong organizational, multitasking, and time management skills.
Exceptional interpersonal and communication skills.
Proficiency in Microsoft Office Suite and office management software.
Discretion, professionalism, and the ability to maintain confidentiality.
Problem-solving and proactive attitude.
