Job Description
The Executive Assistant will play an active role on the investment team by supporting the President, Director of Investments and Director of Asset Management in a multitude of tasks requiring a variety of skills. The Executive Assistant will have the opportunity to become involved in all aspects of the business including finance, development and construction, leasing and partner relations, among others. This role is an integral part of the team, is responsible for helping to keep critical projects moving forward and includes potential for growth and advancement within the company.
Responsibilities
- Calendar management and meeting coordination
- Prepare meeting materials
- Prepare and edit correspondence, presentations, reports, etc.
- Organize and maintain filing systems
- Credit card and account management
- Travel coordination
- Complete special research projects and report on results
- Mailing
- Prepare expense reports
- Light personal assistance to President and Director of Investment
- Review and code invoices for payment
- Construction and other Project Management Assistance
Requirements
- 1-4+ years’ experience in an administrative support role
- Prior experience in commercial real estate and development may be useful but is not required
- Willingness to work outside normal business hours to support President, Director of Investments and Director of Asset Management as needed for urgent projects
- Exceptional organizational and multitasking skills
- Ability to juggle multiple and sometimes conflicting demands
- Strong time management skills
- Self-motivated and eager to learn with the ability to recognize what you don’t know
- Strong verbal and written communication skills
- Ability to independently problem solve
- Proficient in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint
- Proficient in Adobe Acrobat
- Ability to learn new software programs
- Must thrive in a teamwork environment
