Sedona, in partnership with a local hiring organization, is seeking an experienced and highly organized Executive Assistant to join their team in Dubuque, IA. The ideal candidate will possess advanced knowledge and hands-on experience in managing Outlook calendars and will have proven expertise in coordinating and documenting boardroom meetings. This role requires a proactive professional who is capable of handling complex scheduling, ensuring smooth communication, and providing top-notch administrative support to the executive leadership. This is a direct hire opportunity, meaning the right fit candidate would go directly onto the hiring company’s payroll and be eligible for company provided benefits.
Key Responsibilities:
- Calendar Management: Take full ownership of executive schedules, managing Outlook calendars with precision and efficiency. This includes scheduling meetings, resolving conflicts, and coordinating with internal and external stakeholders.
- Meeting Coordination: Organize and prepare for high-level meetings, including board meetings, by creating agendas, gathering necessary documentation, and ensuring all technology and logistics are in place.
- Minutes and Documentation: Accurately capture and transcribe meeting minutes, summarize discussions, and track action items and follow-ups.
- Communication: Serve as the primary point of contact between executive and internal/external stakeholders, handling all correspondence with professionalism and confidentiality.
- Travel Arrangements: Coordinate domestic travel arrangements, including flights, accommodations, meeting preparation and itineraries.
- Administrative Support: Provide general administrative assistance, including expense reporting, document management, and special project support as needed.
Qualifications:
- Minimum of 2 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Proven expertise in managing complex Outlook calendars and scheduling.
- Demonstrated experience in setting up and taking minutes in a boardroom or similar setting.
- Exceptional organizational skills with a keen attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint).
- High level of discretion and professionalism.
