Job Description:
We are seeking an experienced and highly organized Office Manager to oversee the day-to-day operations of our busy orthodontic practice. The ideal candidate will be responsible for ensuring a
smooth, efficient workflow while providing exceptional customer service to patients and fostering a
positive, productive working environment for staff.
Office Administration:
- Manage all administrative tasks including scheduling, patient records, insurance claims, and billing.
- Ensure the office is clean, organized, and fully stocked with necessary supplies.
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Oversee the hiring, training, and scheduling of office staff (receptionists, administrative assistants,
and clinical support team).
- Ensure staff are meeting performance goals and adhering to office policies and procedures.
- Conduct regular team meetings to review office updates and address any concerns.
Patient Relations:
- Serve as the first point of contact for patient inquiries, complaints, and feedback, ensuring excellent
patient care and satisfaction.
- Manage patient appointment scheduling and ensure appointments are confirmed and optimized for office efficiency.
Financial Management:
- Oversee billing processes, including payment collection, insurance verification, and claim
submissions.
HR:
- Monitor and manage the office budget, controlling expenses while ensuring high-quality services.
- Assist with financial reporting and analyze performance metrics to meet office goals.
Compliance & Policies:
- Ensure the practice is compliant with all legal and medical regulations, including OSHA and HIPAA.
- Update office policies and procedures as needed.
Technology & Systems:
- Manage dental office software (Orthotrac for scheduling, billing, and patient record management.
- Ensure proper operation and maintenance of office equipment.
Experience: Minimum 2-3 years of office management experience, preferably in a dental or
orthodontic setting.
Education: High school diploma or equivalent required. Bachelor’s degree or certification in office
management or related field is a plus.
