Reception serves as the first point of contact for employees, visitors, and vendors.
This includes and not limited to:
- Assist with Lunch Program
- Greet, direct, and sign-in office visitors with great hospitality.
- Develop strong relationships with office employees and leadership.
- Proactively communicate office updates to employees.
- Manage the building visitor log for both internal and external visitors.
- Handle incoming and outgoing mail and packages.
- Collaborate with the Chicago Workplace Site Manager and the Physical Security, Health, and Safety team to maintain site security and safety.
- Report security and safety issues and assist with inspections, evacuation, and safety training.
- Manage inventory, issuance, and tracking of temporary access badges.
- Create access badges for new employees and maintain an accurate badge log.
- Conduct periodic badge audits for the office.
- Coordinate with building property management to update employee access lists.
- Obtain CPR, AED, and First Aid certification (training provided).
- Participate in office safety drills and emergency preparedness.
- Work closely with the Chicago Workplace Site Manager on administrative tasks.
- Assist with inventory management and office supply ordering.
- Support employee productivity by directing them to internal resources and tools.
- Assist Site Manager with event setups and conference room bookings.
- Prepare conference rooms for meetings, both in-person and virtual.
- Provide assistance on Workplace projects as time allows.
- Support on-site vendors with access and assistance.
- Maintain the appearance and organization of the lobby and office space.
- Conduct research projects as needed.
Skills:
- Working knowledge of Mac OSX.
- Experience in hospitality, customer service, or employee experience preferred.
- Strong attention to detail required.
- Ability to multi-task and pivot quickly in a fast-paced environment.
- Strong organizational and time management skills.
- Must have a high level of professionalism with a strong customer focus.
- Excellent verbal and written communication skills.
- Proficiency with G Suite.
- Strong social skills and a positive attitude.
- Outstanding organizational and problem-solving skills.
- First Aid and CPR certifications from an accredited provider (e.g., Red Cross, AHA).
Education:
- High School Diploma
- Some College
